About the Asia Sustainability Reporting Awards (ASRA)

. What are the Asia Sustainability Reporting Awards?
The Asia Sustainability Reporting Awards recognize and honour sustainability reporting leaders in Asia. The Awards celebrate best practices in sustainability reporting and communications. The Awards also aim at creating awareness about sustainability reporting and inspiring all types of organisations to start their sustainability reporting journey. The Awards are being offered in 14 categories including Asia's Best Sustainability Report, Asia's Best Integrated Report, Asia's Best Sustainability Report (SME) and Asia's Best Carbon Disclosure.
 
. How long has ASRA been established?
The inaugural Asia Sustainability Reporting Awards were organised in 2015 and were termed hugely successful by a large section of stakeholders. The Awards are now into their 2nd year.
 
. Who are the organizers?
The Asia Sustainability Reporting Awards, a not-for-profit initiative, are organised by csrmatters, a unit of CSRWorks International, Singapore's leading sustainability advisory and training firm with a successful track record of more than 10 years. csrmatters is focussed on research, recognitions and rankings. The CSRWorks closely works with businesses and other stakeholders to promote excellence in sustainability across the region. . Why have we decided to create the Awards?
An increasing number of companies in Asia are embarking on sustainability reporting in line with global trends. A number of countries and stock exchanges have introduced some form of regulations for sustainability reporting by publicly listed companies. This has further provided motivation to even more companies to consider sustainability reporting. The Asia Sustainability Reporting Awards have been created to honour and recognize sustainability reporting excellence and leadership in Asia. The Awards also offer an opportunity to benchmark against best practices and to learn from peers. In all, the Awards aim to play an important role in encouraging and promoting sustainability reporting.
 
. Who decides the finalists and who decides the winners?
An independent panel of judges with distinguished backgrounds will assess the entries to decide the winners. The judging panel will have members drawn from diverse fields such as non-profit organisations, academia, sustainability advocacy, professional bodies, industry networks, media etc to enrich the judging process. If a panel judge has a connection with or represents a nominated company/individual then he/she is excluded from discussions on submissions for the relevant categories. The judging panel is completely independent of the organisers to maintain the highest possible neutrality and objectivity. No one from the organisers participates in the judging process.
 
. How many entries are expected?
We expect a fair number of entries from across the region as we strive to reach out to as many reporting organisations as possible within Asia.
 
. What are the countries included in the Awards?
All countries in Asia are eligible for the Awards. If you have any doubt about your country's eligibility, please write to us for clarification.
 
. Is the Awards carbon neutral?
The Asia Sustainability Reporting Awards is a "carbon neutral" project as the carbon footprint of the Awards event will be offset through carbon credits.
 

Submitting Entries

. What category should I enter?
Companies should choose a category or categories that best reflect their strengths or type of reporting or even the size. All companies are encouraged to submit their entry at least for the main award categories which best aligns with their reporting type or the organisation size. The main categories are: Asia's Best Sustainability Report, Asia's Best Integrated Report, Asia's Best Sustainability Report (SME) and Asia's Best CSR Communication within an Annual Report.
In addition, organisations may submit entries for the relevant sub-categories. Consider your sustainability report content carefully. If there is a specific area in which your company has done well or is exceptionally proud of, see if that correspond to any category. For example, if your sustainability report includes extensive carbon emissions disclosure and related policies, it may be a good idea to also submit your entry for the "Asia's Best Carbon Disclosure" category. If you are still unsure of which category to enter, email us or give us a call and we will help you through the process.
 
. Can I enter more than one category?
You may enter as many categories as you like. Bear in mind that the judges will be looking out for submissions with information tailored to the corresponding categories you are applying for. You will need to submit a separate Entry Form for each category you enter.
 
. What are the benefits for entering multiple categories?
You increase the chances of being one of the finalists and to win. You also get the chance to benchmark your company's sustainability efforts with other companies in specific categories.
 
. My company has subsidiaries in different Asian cities, can I still enter under the same company name?
As long as the subsidiaries have their individual reports or disclosure based in the country of operations, you may enter the same or different categories.
 
. How do I know if my report or communication is eligible?
The Asia Sustainability Reporting Awards are open to all kinds of periodic sustainability reporting by all types of organisations in Asia. The types of reports eligible for the awards include:
    . Annual Sustainability Report / Annual CSR Report
    . Integrated Report
    . CSR Communication within an Annual Report
    . UNGC Communication on Progress
    . Online CSR or Sustainability Communication (i.e. Company website or micro-site)
    . Any other type of sustainability disclosure or communication publicly disclosed and available.
Entries will be accepted for the most recent report published by an organisation for the calendar year 2014 or the Financial Year 2014-15 as the case may be.
 
. Who can submit entries for considerations?
Organisations are encouraged to self-nominate for suitable categories by sending their entry in the prescribed Entry Form. Stakeholders too may nominate an organisation by recommending the organisation's name to us. In this case, we will still get in touch with the nominated organisation to complete the Entry Form, and make the entry fee payment, if necessary.
 
. Can I enter if I'm a not-for-profit organisation?
Yes. The Awards are open to all types of organisations including Not-for-profit organisations, social enterprises, academic institutions, public sector organisations, government agencies, SMEs and large organisations.
 
. When is the submission deadline?
Please refer to the Home Page for the Early Bird Deadline and the final deadline for submission of entries. If you are unable to adhere to this deadline for any reason, please contact us and we will evaluate on a case-by-case basis.
 
. Is there any entry fee to enter the Awards?
The Awards is a not-for-profit initiative. There is a small entry fee to meet the administrative expenses of organising the awards. The entry fee is inclusive of one complimentary seat for each participating organisation at the Awards Ceremony Gala Dinner event. Discounts are available for multiple entries to keep the cost of entry as low as possible to encourage participation. SMEs and non-profit organisations pay even lower fee. . How long will my entry form take to complete?
We have made the entry process as straightforward as possible for ease of entry. Do take note that there is a limit of 500 words for your written submission. You are required to provide a link to the actual sustainability report.
 
. How will I know if my submission is accepted?
We highly recommend reading the eligibility criteria thoroughly and contact us if you have questions before submitting your entry form. Once you have sent us the required documents, we will screen your submission to see if they meet the criteria and send an invoice for the entry fee. Upon payment, you will receive a tracking reference to use in future correspondence regarding the Awards. Please note your submission will only be considered when payment is completed.
The entry form requires a primary contact for all correspondence regarding the Awards. This primary contact should be available throughout the entire process.
 

Language

. Can I submit a report or communication in a different language?
At this time, we only accept entries in English. Sustainability reports or communication published in other languages will be accepted only if participating organisations can provide an English translation. If you have further queries regarding reports in different languages, please contact us.

. How are the judges chosen?
The judging panel is completely independent of the organisers to maintain the highest possible neutrality and objectivity. More information about the judges can be found here.
 
. Where are the judges from?
The judging panel will have members drawn from diverse fields such as non-profit organisations, academia, sustainability advocacy, professional bodies, industry networks, media etc to enrich the judging process.
 
. Will the judges explain how they decide on finalists and winners?
We will ask the judges to write a short explanation why a particular entry has been shortlisted or not shortlisted. This explanation may be shared with the respective organisation upon request.

. Are entry forms kept confidential?
Yes. The organisers will ensure that all information including entry forms and relevant documents submitted are reviewed only by the judges. All results of finalists and winners will be kept confidential until time of release.
 

Finalists

. How many finalists will there be?
It depends on the number and quality of entries. There are expected to be 6-10 finalists in each category.
 
. How will I know if I am a finalist?
Names of finalists will be announced on the awards website and through various social media platforms and press releases. Finalists will also be informed through email the moment the results become available. Once the finalists have been chosen you will receive a further email to inform you of the status of your submission.
 
. What will the Award organizer require if I become a finalist?
Once you are declared a finalist, it’s recommended that you start making your travel plan to attend the Awards Ceremony Gala Dinner event where the winners will be announced. Finalists are also presented their merit certificate on stage at the event.
As a finalist, you may be contacted for more information including details about your organisation, logo request etc. The Awards Secretariat may call or email the Primary Contact Person mentioned in the Entry Form should they need more information.

All finalists will receive a personalised merit certificate which will be presented at the Awards Ceremony Gala Dinner event in Singapore. Finalists will also receive a distinct Finalist Icon that they can use on their website and other promotional material as a mark of their sustainability excellence.
 

Winners

. How many winners will there be?
Usually, there will be one winner for each category. In exceptional circumstances, there may be a joint-winner or a “Highly Commended” merit award.
 
. How will I know if I am a winner?
Winners will only be announced during the Award Ceremony. Consequently, the names of winners will be announced on the awards website and through various social media platforms and press releases.
 
. When are the winners announced?

Awards Ceremony

. When will the Awards ceremony take place?
The Awards Ceremony Gala Dinner event will be organised according to the timeline mentioned on the Home Page. A precise date will be announced in advance to enable the attendees to plan to attend the event.
 
. What will it cost to attend the Awards Ceremony?
Each organisation participating in the Awards will be provided one complimentary pass to the Award Ceremony. Interested organisations may purchase additional passes if they plan to send more than one representative to attend the event. The price of the pass will be announced later.
 
. Where will the ceremony be held?
The Award Ceremony will be held in Singapore. The exact venue will be announced later.
 
. Will I have to say anything at the ceremony if I am one of the winners?
The winners may be requested to say a few words about their reporting experience at the time of receiving the Awards. The winners may also be approached by members of the media for comments.
 
. Is it necessary to attend the awards ceremony?
Every participating organisation is welcome, and encouraged, to attend the event. Each participating organisation will be entitled to one complimentary pass to attend the Awards Ceremony Gala Dinner event. Additional tickets may be purchased if you wish to send more than one representative to the event. Awards and certificates must be received at the event as these will not be shipped to the recipients.
 
. What if I can't make it to the Award Ceremony?
You are strongly encouraged to attend the Awards Ceremony to receive your award or certificate. However, if you are not able to attend the ceremony, you can collect the finalists certificate or the award plaque, as the case may be, from our office in Singapore. Awards or certificates will not be shipped to winners.
